This Privacy Statement covers two distinct environments operated by Preiss Group Pty Ltd: the thomaspreiss.com marketing website and the Thomas AI application. The information collected, and how it is used, differs between these two environments.
2A. thomaspreiss.com Website
When you visit thomaspreiss.com, Squarespace — our website platform provider — automatically collects standard website data on our behalf, including:

Log data such as browser type, pages visited, and time spent on the site

2B. Thomas AI Application
When you use Thomas AI, the following data is collected and processed:
Your name and email address for account creation and authentication
Conversation data generated through your interactions with Thomas AI, stored via pseudonymous identifiers at the platform level
Session and usage data required to maintain your personal dashboard and conversation history
Thomas AI does not collect website browsing history, device identifiers, or any data unrelated to your coaching interactions.
3. How We Use Your Personal Information
We use your personal information for the following purposes:
Your conversation data is used exclusively to deliver and maintain your personal Thomas AI experience. It is never used to improve general platform capabilities, train shared models, or inform any purpose beyond providing the Service directly to you."
To send you information about our sales training courses and services.

To comply with our legal obligations.
4. How We Disclose Your Personal Information (Including AI Data Protections)
We do not sell, rent, or lease customer information to third parties. We may share your information only in the following limited circumstances:
General Disclosure
Service Providers: We may disclose your personal information to our service providers and business partners who help us to operate our website and provide our services. This includes Google Workspace for Business, which we use to provide our email and other services.
Legal Compliance: We may disclose your personal information to government agencies and law enforcement agencies, as required by law.
LLM Providers: With third-party service providers, including providers of Large Language Models (LLMs), who assist us in operating our business and providing our services. These providers are contractually bound to use the data only for the purposes of providing their services to us.
Thomas AI Specific Protections (Thinking Planner Clients)
Regarding the information you share with the AI Coaching Tool:
Non-Sharing of AI-Shared Information: Information shared with Thomas AI (Customer Content) is not shared with unrelated third parties.
No AI Training Use: We select LLM providers who contractually commit not to use the information and data you share with the AI Coaching Tool for their own training purposes.
Email Address Restriction: EEmail addresses are shared with Steno.ai solely for account authentication and platform administration purposes. Steno.ai is contractually prohibited from using this information for any purpose beyond operating the Service on our behalf.
5. Security of Your Personal Information and Data Retention
5.1 Security Measures
We take reasonable steps to protect your personal information from unauthorised access, use, or disclosure. Security measures include encryption of data at rest and in transit, regular security audits, and strict access controls. However, no method of electronic transmission or storage is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information.
5.2 Data Retention
We retain your information for as long as necessary to provide our services and for 60 days following the termination of our business relationship. After this period, we will securely delete or anonymise your data, unless a longer retention period is required by law. For Customer Content shared with Thomas AI, this means the content will be permanently removed from our active database and the Steno.ai platform.

You have the following choices regarding your personal information:
You may choose to opt out of receiving marketing emails from us by clicking on the unsubscribe link in any of our marketing emails.
You may request to access, correct, or delete your personal information by contacting us.
