  • Chat History Storage: The chat history between users and the AI is stored only in your dashboard, making it visible only to you and your authorised team.

  • Anonymity: All conversations are anonymised, and Steno.ai does not store personally identifiable user information in the logs themselves.

  • Steno.ai Access: Steno's team may access this data only when necessary for support, debugging, or improving your AI, and always under strict access controls.

AI Coaching Tool Specific Protections (Thinking Planner Clients)

Regarding the information you share with the AI Coaching Tool:

  • Non-Sharing of AI-Shared Information: Information shared with the AI Coaching Tool (Customer Content) is not shared with unrelated third parties.

  • No AI Training Use: We select LLM providers who contractually commit not to use the information and data you share with the AI Coaching Tool for their own training purposes.

  • Email Address Restriction: Email addresses are not shared with external third parties, other than on Steno.ai for administrative purposes only, as Steno is the underlying platform for the AI Coaching Tool.

5. Security of Your Personal Information and Data Retention

5.1 Security Measures

We take reasonable steps to protect your personal information from unauthorised access, use, or disclosure. Security measures include encryption of data at rest and in transit, regular security audits, and strict access controls. However, no method of electronic transmission or storage is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information.

5.2 Data Retention

We retain your information for as long as necessary to provide our services and for one year after the termination of our business relationship. After this period, we will securely delete or anonymise your data, unless a longer retention period is required by law. For Customer Content shared with the AI Coaching Tool, this means the content will be permanently removed from our active database and the StenoAI platform.
